Full-time Technology Administration Manager

The Technology Administration Manager will lead a team that is responsible for the delivery of IT Administrative tasks in support of the Office of Technology. These tasks include general technology procurements, contracts support, software management / licensing, property management, technical writing, budget coordination, correspondence, and records management.
The Technology Administration Manager will be expected to make day-to-day decisions concerning administrative tasks within guidelines provided by the Airports Authority.
Typical Office support responsibilities will include, but not be limited to:
Office Records Maintenance
Maintain all Office of Technology records in a manner directed or approved by Technology Department management
Establish and maintain a system to archive or destroy records as directed
Maintain library of SOPs, Directives, Polices and other direction or guidance either established by Office of Technology management or by other authorized areas within the Airports Authority
Maintain statistics on Departmental and Contract activity including the preparation of regular reports documenting such activity for management review
Maintain a file of Non-Disclosure Agreements signed by each contract employee assigned to work with the Airports Authority.
Documentation Support
Document Office of Technology activities as required by management
Provide assistance in documenting procedures and methods, both technical and administrative
Draft SOPs and other guidance documents for use within the Office of Technology.
Draft material to be used for training and/or orientation
Assist in documenting changes in the Authorities information environment as they occur.
Requisitions / Purchasing:
Prepare Requisitions for the acquisition of materials and services.
Research and recommend products
Advise of product availability
Prepare the appropriate requisition documents
Log and track requisitions
Coordinate with Procurement responses to vendors inquiries
Assist the Airports Authority’s various Procurement offices as required,
Take receipt of material ordered
Ensure property is properly registered and tracked, as required.
Manage P-Card purchases within compliance of the Authority’s policy.
Inventory Tracking
Assist the management and their Property Sub-Custodian(s) in tracking the location and disposition of all controlled property assigned to the Office of Technology.
Maintain inventory records of Airports Authority property assigned to Contractor personnel
Software License Maintenance
Ensure software in use by the Airports Authority is properly supported and renewed as required and directed by the COTR or Technology management.
Maintain records on the number and types of licenses owned by the Airports Authority and it’s support status and requirements
Other Administrative Processes:
Coordinate annual ID badge renewal.
Coordinate annual parking permit renewal process.
Coordinate other security clearance requirements, as needed.
Coordinate quarterly “Town Hall” meetings.
Manage Executive Support
Related duties as assigned.
To be rated qualified for this job, an applicant must meet both of the MQs listed below at the time of vacancy announcement closure:
At least (7) years of direct experience providing guidance/direction to an IT Administration team.
Experienced in maintaining records for the Office of Technology; including:
Procurement Requests
Budget detail support
Departmental Inventory
Contract Use Inventory
Departmental Property
Contract Use Property
Software Licenses
Departmental correspondence
Experienced with responsibility for overall administrative support activities.
Experienced maintaining a library of documents. Knowledgeable in the use of IT terminology.
Excellent oral and written communication skills.
Experienced analyzing existing and potential products and services information and collating the information into meaningful reports and presentation material.
Experienced ensuring that appropriate procedures and documentation standards are implemented and enforced.
Experienced with responsibility for the development and distribution of Departmental SOPs.
Experienced projecting resource requirements including personnel, software, equipment and facilities, and making recommendations to management.
Experienced maintaining currency of Departmental records.
Experienced acting as a liaison between IT and other personnel.
Experienced allocating resources according to needs and priorities.
Experienced providing ongoing logistical and supply support for multiple IT groups.
Experienced overseeing all procurement activity for multiple IT Offices and IT-related procurement efforts.
Experienced coordinating all Property handling and inventory activities.
Experienced generating annual procurement planning documents.
Experienced monitoring budget status and funds available; providing reports on same as needed.
Experienced in the preparation of or edits of yearly, monthly and weekly reports.
Experienced coordinating contract renewals and assisting in contract management.
Experienced coordinating training of Administrative Staff.
Proficient in the use of Microsoft Office Automation Software.
Experience using Oracle EBS iProcurement, Budgeting and reporting modules.
Experience in MWAA’s contracting process and the development of supporting documentation including, Independent Cost Estimates, Procurement Justifications, In Scope Checklists, and Requisitions.
